How direct-to-evaluator transcript requests work

Why evaluation services require transcripts directly from the institution, and the exact steps to ensure direct delivery.

When applying to foreign universities or immigration programs, credential evaluation agencies like WES (World Education Services), ICAS, IQAS, or CES require that academic records be delivered directly from your graduating institution.

The direct transmission rule

Evaluators operate under strict tamper-evident chain-of-custody protocols. If a student receives an official transcript envelope and mails it themselves, most agencies will reject the package immediately, even if the registrar's seal appears unbroken.

Crucial items to provide during your request

  1. Your Evaluator Reference Number: (e.g. WES Reference #1234567). Your institution MUST write this on the envelope or include it in the digital transmission header.
  2. The Exact Evaluator Address / Portal: Make sure you choose the evaluation service's designated intake address rather than their corporate office.
  3. Electronic Transmission Codes: If your university uses digital exchange networks (e.g., ETX.NG, Parchment, National Student Clearinghouse), select the verified recipient from the dropdown.

Handling institutions without direct mailing services

If your institution requires alumni to pick up documents in person, you must request that the exams office seal the transcript inside an official envelope, stamp across the flap, and deliver it directly to a DHL or FedEx courier counter on campus with the return address listed strictly as the Registrar's Office.
